Summer Flextime & Dress-Down Policy
Summer 2019 Flextime Dress-Down Policy
Summer Flextime -- Flextime is a work concept that divides the day into segments of core time, when all employees are expected to be at work and flexible time, usually at the beginning and end of the day. A weekly schedule of 35 hours must be maintained (37.5 hours for Facilities and Public Safety employees). This schedule will include, on Fridays, the hours of closing.
The core time is 9:00 am to 3:30 pm. All employees must be at work during this period. Flexible hours are from 8:00 am to 9:00 am and 3:30 pm to 4:30 pm.
Flextime is completely voluntary; employees may choose to remain with a standard summer schedule of 8:30 am to 4:30 pm with a one-hour lunch. In addition, certain departments will have schedules that vary from hours described below or have particular needs that may, in some instances, be addressed outside this policy.
Time Period: Rider's summer flextime schedule will commence on the Monday following commencement and run through the third Friday in August subject to change depending on the academic calendar.
Acceptability: This schedule will be applicable to both the Lawrenceville and Princeton campuses.
Key Aspects: Department heads should meet with staff before the effective dates of this policy to discuss the policy including:
- Time sheets, where applicable, should accurately reflect hours worked.
- A lunchtime of at least 30 minutes must be taken each day.
- The base period of the standard workday is 7 hours.
- Hours worked in excess of the weekly base period of 35 hours (37.5 hours for Facilities and Public Safety employees) are paid as overtime for all office employees considered non-exempt under FLSA.
- Schedules must be coordinated within working units so that department coverage continues to be provided for the entire business period of 8:30 am to 4:30 pm.
- Flextime work schedules require supervisory approval.
- Part-time employees are not affected by this policy.
Dress-Down: Members of the campus community will be able to dress down everyday during the flextime period. While casual attire is appropriate, informal leisure clothing such as T-shirts, tank or halter tops and shorts will not be permitted. Questions on appropriateness will be decided by supervisors and Human Resources. Please remember that off-campus business commitments or more formal on-campus meetings will require regular business attire.
Summer Flextime & Dress-Down Policy Q&A
How should my office be staffed? All University offices will be open and staffed Monday through Thursday for full days (8:30 am until 4:30 pm) and on Friday from 8:30 am until noon. Please ensure that offices are open with adequate staff on the mornings of the designated Fridays so that the University can continue to provide quality service and support. Some departments, because of operational needs, may not be able to take advantage of the half-day Fridays. In these cases, alternative flextime, with supervisory approval, can be arranged.
How should the public be made aware of the Friday hours? Please be sure to change your personal and office voice-mail and email messages to notify the public of the early Friday closing time.
My department is required to be staffed for twenty-four hours a day, seven days a week. Can I still take advantage of this program? Several departments in the University have activities or service requirements on Friday afternoons in the summer and therefore, will need to continue to have their offices fully operational and staffed during these times. However, with your supervisor's approval, and as long as operational needs are met, you can take off three and one-half hours on another day determined by your supervisor or, if your supervisor allows, you could combine the hours and take off a full day at another time.
For operational reasons, my department supervisor says our office must remain open on Friday afternoons. Can we close our office on Thursday afternoons instead? No, all offices in the University will be open and staffed Monday through Thursday from 8:30 am until 4:30 pm and Friday from 8:30 am until noon.
My department must remain open on Friday afternoons. Does that mean that I can't participate in this program? Your supervisor may determine that your office must remain open but that reduced staffing would be sufficient. In that case, the supervisor can allow employees to alternate, with one working a whole day on a Friday but taking off the next full Friday while a colleague works the full day.
If employees are not able to take off Friday afternoons because of department needs and must make alternate arrangements with their supervisors' approval, will Human Resources track this information? No, this is an arrangement between the supervisor and employee and will be tracked within the department.
I have an approved full week of vacation during one of the weeks where the University has authorized a Friday afternoon closing. How do I record this time on my timesheet? The 3.5 hours in the morning of the Friday is indicated as vacation and the 4.0 hours in the afternoon is indicated as closing.
What if I have an approved personal day on a Friday? How do I record this time on my timesheet? The 3.5 hours in the morning of the Friday is indicated as personal and the 4.0 hours in the afternoon is indicated as closing.
What if I am sick on one of the Fridays? The 3.5 hours in the morning of the Friday is indicated as sick and the 4.0 hours in the afternoon is indicated as closing.
I don't want to take the time off. Can I be paid for it instead? No, this program is offered for employees to take advantage of the summer months. If you choose not to use the time, your pay cannot be adjusted.
