The New Jersey Judiciary is seeking a well-organized secretary to work under the general direction of the Assignment Judge of the Passaic Vicinage. The selected individual needs strong technical and administrative skills to support the judge. Duties include, but are not limited to: conformingjudge’s orders and maintaining the workfiow in/out ofjudicial chambers; communicating the judge’s schedule with court administration and case management personnel; preparation and submission of local and state reports; management of incoming and outgoing communications, including mail, telephone, case conference calls and follow-up of same; procuring supplies and equipment and inventoly for chambers, and any additional duties as required and assigned. Strong computer skills needed for information processing using Judiciary- wide computer systems. Formatting and typing jury instructions, charges,judiciai opinions and other legal documents. Composing routine correspondence, such as form letters or standard replies to inquiries; composing non-routine correspondence; answering inquiries from the public; editing letters, documents or articles; filing records, and serving as liaison between the judge and the case management and operating divisions.
REQUIREMENTS
EXPERIENCE: Four (4) years of experience in an office environment performing a variety of clerical support services to include typing, preparing and analyzing legal documents, processing legal or other documents, transcribing information, and scheduling meetings or appointments.
SUBSTITUTION: Successful completion of a clerical training program with a minimum of 700 classroom training hours or 30 semester hour credits in secretarial science may be substituted for one (1) year of the experience indicated above. Course work must include typing skills, methods, and procedures; other courses may include, but are not limited to, office procedures, word processing, and business English.
TESTING: Applicants selected to interview must pass an appointing authority administered examination to demonstrate typing skills of at least 40 words-per-minute or possess proof of having taken the required skills test (i.e., New Jersey Department of Personnel typing proficiency certificate).
NOTE: Working knowledge of MS Office, legal assistant experience and working knowledge of transcription equipment would be helpful.
ELIGIBILITY: Selected candidate must be authorized to work in the United States according to Department of Homeland Security, United States Citizenship and Immigration Services Regulations. United States Citizenship is not required.
